Overview

We are seeking a highly organized and proactive Administrative Assistant to support our daily operations across compliance, finance, client management, and internal coordination. This role is ideal for someone who thrives in a fast‑paced environment, enjoys multitasking, and can confidently manage both administrative and client‑facing responsibilities.


Key Responsibilities

1. Government Compliance & Documentation Coordinate and manage all government‑related processes (e.g., license renewals, visa applications, permits, attestations). Maintain accurate records of compliance documents and ensure timely renewals. Liaise with government portals and service centers as needed.

2. Finance & Accounting Support Assist with bank reconciliation, ensuring accuracy and timely updates. Prepare and send invoices to clients; follow up on outstanding payments. Maintain financial records and support the finance team with basic bookkeeping tasks.

3. Client Management Serve as a point of contact for client inquiries and support requests. Maintain client records, contracts, and communication logs. Coordinate with internal teams to ensure smooth delivery of services.

4. Team & Office Support Provide administrative support to the team, including scheduling, documentation, and coordination. Assist with internal communication and ensure smooth day‑to‑day office operations. Manage office supplies, vendor coordination, and general administrative tasks.

5. Sales Support Assist the sales team with proposal preparation, documentation, and follow‑ups. Maintain CRM entries and ensure client data is up to date. Support lead tracking, meeting scheduling, and basic sales reporting.
